Q: I want to discipline an employee whose work is falling well below standard. What is the best way of doing this?

We all like giving praise but most of us find it more difficult to criticise. Setting out guidelines in the first instance is a good start – it gives managers clear direction and tells employees what behaviour won’t be tolerated. In the first instance it is important to investigate the reasons for poor performance, particularly if the employee has a satisfactory record previously. Some people start going sick or coming in late because they are stressed. They may have a difficult relationship with a colleague, be struggling with particular tasks, or there may be a traumatic event in their home life. Inadequate investigation may make it more difficult to defend yourself against unfair dismissal claims. A formal performance review will help but won’t solve the problem unless they are supplemented with more regular ongoing communication. It is important to arrange a time to discuss the issues with the employee concerned – identify the problem and offer the employee the chance to explain. The individual concerned might not realise there is a problem or simply need some additional training and support.
